Institutional Eligibility

ECAR – Eligibility and Certification Approval Report

The Associate Vice President for Financial Aid or other designated financial aid staff are responsible for submitting the timely completion of the ECAR every six years or as requested by the Department of Education.

A copy of the E-App and all supporting documents are stored electronically in the folder designated for financial aid use only. A hard copy of the application and supporting documents is also on file in the office of the Associate Vice President for Financial Aid.

Supporting documents collected during the application process could include; letters from accrediting agencies, state approvals and exemptions, academic program data, demographic information for the person(s) designated as the chair of the Board of Trustees, names and contact information for the college’s President, Chief Financial Officer and Financial Aid Director. Other documents may be required as requested by the Department.

The signed Program Participation Agreement (PPA) is stored electronically in the folder designated for financial aid use only. A hard copy of the application and supporting documents is also on file in the office of the Associate Vice President for Financial Aid.

Updating Information

The Associate Vice President for Financial Aid or other designated financial aid staff member will be responsible for updating and maintaining records of updates.

  1. Reporting requirements. Except as provided in paragraph (b) of this section, an eligible institution must report to the Secretary in a manner prescribed by the Secretary no later than 10 days after the change occurs, of any change in the following:
    1. Its name, the name of a branch, or the name of a previously reported location.
    2. Its address, the address of a branch, or the address of a previously reported location.
    3. Its establishment of an accredited and licensed additional location at which it offers or will offer 50 percent or more of an educational program if the institution wants to disburse title IV, HEA program funds to students enrolled at that location, under the provisions in paragraph (d) of this section.
    4. Except as provided in 34 CFR 668.10, the way it measures program length (e.g., from clock hours to credit hours, or from semester hours to quarter hours).
    5. A decrease in the level of program offering (e.g. the institution drops its graduate programs).
    6. A person's ability to affect substantially the actions of the institution if that person did not previously have this ability. The Secretary considers a person to have this ability if the person—
      1. Holds alone or together with another member or members of his or her family, at least a 25 percent “ownership interest” in the institution as defined in §600.31(b);
      2. Represents or holds, either alone or together with other persons, under a voting trust, power of attorney, proxy, or similar agreement at least a 25 percent “ownership interest” in the institution, as defined in §600.31(b); or
      3. Is a general partner, the chief executive officer, or chief financial officer of the institution.
    7. The individual the institution designates under 34 CFR 668.16(b)(1) as its title IV, HEA Program administrator.
    8. The closure of a branch campus or additional location that the institution was required to report to the Secretary.
    9. The governance of a public institution.
    10. For a freestanding foreign graduate medical school, or a foreign institution that includes a foreign graduate medical school, the school adds a location that offers all or a portion of the school's clinical rotations that are not required, except for those that are included in the accreditation of a medical program accredited by the Liaison Committee on Medical Education (LCME) or the American Osteopathic Association (AOA), or that are not used regularly, but instead are chosen by individual students who take no more than two electives at the location for no more than a total of eight weeks.

Admissions Requirements

All students admitted to SMWC must have a high school diploma or a recognized equivalent of a high school diploma. SMWC does not admit students under the Ability to Benefit criteria.

Certain programs may require additional requirements for acceptance into that particular program. SMWC has the right to deny acceptance based if the student does not have sufficient documentation or is unable to validate a high school diploma.

SMWC will not provide a commission, bonus or other incentive payment based in any part, directly or indirectly on success in securing enrollments or financial aid to any person or entity engaged in any student recruiting or admission activities or in making decisions regarding awarding Title IV aid.

State Authorizations

The College participates in the National Council for State Reciprocity Agreements (NC-SARA) as an approved member of Indiana SARA. Through NC-SARA, the College may engage in interstate educational activities, including enrolling students in other SARA states. The College is not required to be authorized in California (a non-SARA state).

Accreditation and Approvals Saint Mary-of-the-Woods College is accredited by the Higher Learning Commission. The College is authorized by name as an approved institution of higher education in the state of Indiana; it is also approved for teacher training by the Indiana Department of Education. The College participates in the National Council for State Authorization Reciprocity Agreements (NC-SARA) and is an approved Indiana NC-SARA institution.
